This policy statement assures the secure use of the appropriate IT tool and education portal made available by NATIONAL INSTITUTE OF ADVANCED TECHNICAL & MANAGEMENT STUDIES (NIATM) to learners, staff members, and centres. It provides the framework within which the process must be followed and the IT tool can be used. It also prevents misuse of the portal and binds users to the specified criteria mentioned in this process.
This process demonstrates how IT will be managed and the available IT infrastructure and systems to support the development, delivery, and award of qualifications.
Additionally, this policy outlines the process to register a learner by the centre and also outlines the process of certification after a successful assessment process. NIATM has made the education portal available for its staff members, centres, and learners for appropriate use in relation to their jobs, studies, institutional services, and the academic objectives of the institute.
This policy demonstrates the regulations governing the use of the learning portal of NIATM. It also sets out the expected behaviour from stakeholders while using the infrastructure.
This policy can be read alongside other key policy sections, such as the institute’s Data Protection Policy. Certain components of this policy may also be read alongside the Equality Policy. This process applies to all authorized users.
This document is also designed to demonstrate to regulatory authorities and awarding bodies, where applicable, how IT will be managed and what infrastructure and systems are available to support the development, delivery, and award of qualifications.
The process aims to have a regulated IT infrastructure in place.
NIATM has developed a learning portal for use by its stakeholders. It has features for learners, staff members, and centres involved in delivery of qualifications. The purpose of this portal is to develop, deliver, and award qualifications.
The learning portal is equipped with data security, digital security, and privacy measures to ensure compliance with Data Protection Law and institutional data handling requirements.
The portal has functions to conduct operations involving the development, delivery, and award of qualifications. The portal link may be integrated on centres’ websites to enable them to register students on the portal. It will enable centres to upload learner data, access allowed learner data, communicate with NIATM, and access learners’ information as permitted.
NIATM encourages whistle blowers to come forward if they believe the disclosure is true in nature and the act is a serious non-compliance. They should not fear because such action is part of their duty in the interest of standards and public interest, provided it is made honestly and in good faith.

Once an applicant is satisfied with the counselling process, the next step is the student registration process. NIATM as a centre or institute will have to submit learners’ data on the portal within ten days of their enrolment. Learners can also follow the self-registration process, which is designed to be user friendly so the student can register independently for the desired qualification.
Learners can register using their full name, a valid email ID, mobile number, and country of residence. All data of learner registration will be stored subject to compliance with the Data Protection Policy and may be shared with the awarding body and regulatory authorities as part of compliance requirements, subject to applicable privacy statements.
After registration, an applicant is required to fill the application form which requires profile details, previous academic qualifications, professional experience, field of expertise, and the qualification they wish to pursue.
An applicant may also be required to mention the centre code to complete the registration process. If an applicant does not know or remember the centre code, he or she may be able to identify it by locating the centre through the relevant “locate your centre” feature, where available.
NIATM may submit the following data to the awarding body, where applicable. During this process, the learner must understand that their data, including personal information, may be recorded by NIATM for further processing and award of qualifications. NIATM is responsible for ensuring this compliance.

NIATM will at all times follow the Data Protection Policy in order to protect learner data.
The operations team of NIATM will verify all eligibilities on the basis of documents attached and will match them with the student profile. Simultaneously, the accounts team will verify the fees received from the student or centre. Communication will be made with centres for such matters where required.
NIATM offers a plan of induction, training, and support to its staff and learners in order to function effectively and deliver qualifications. It will offer a detailed schedule to be followed by learners.
Such training helps deliver qualifications in accordance with prescribed policies and processes. NIATM may keep training material recorded and uploaded on the portal. In order to effectively deliver qualifications, the Learning and Delivery Policy should also be referred to where relevant.
The portal has an integrated ticket system which allows learners to communicate with NIATM support services at any time by raising tickets. The standard policy of student services applies here.

Though NIATM encourages learners to communicate mostly through the portal ticket system, it also recognizes that learners may need to communicate through email for many reasons.

Learners or centres may wish to request replacement of certificates in many circumstances. They can do so through NIATM’s secure education portal.
Proof of identification must be submitted along with the request and the reasons for replacement. The learner’s identity will be verified from the records available. In such cases, centres may also be contacted for verification.
Upon verification of the learner’s achievements, the replacement certificate, clearly identifiable from the original, may be issued. The applicant may have to pay charges for replacement of the certificate.
To meet regulatory requirements, NIATM keeps records of every certificate issued, including damaged or defaced certificates, along with all learners’ records.
Should NIATM, subject to investigation and findings, identify that a learner’s qualification is disputable, it will take appropriate action to revoke the issued certificate if the result on the certificate is deemed to be false due to malpractice, maladministration, or any other reason of non-compliance. All such incidents will be immediately informed to the awarding body where applicable.
Learners will be informed of the decision and will have to return the certificate issued immediately to NIATM. Continued use of such certificate may be subject to disciplinary action. The learner may follow the complaint process but may lose the right to appeal against the revocation decision where policy so provides.
The awarding body accepts only the findings of the External Quality Assurance report as the basis on which certificates and awards are issued. Learners cannot claim certificates directly from the awarding body, unless it involves replacement of certificates through the approved process.
NIATM uses portal functions to minimise human error. However, if a learner identifies that the learner’s information at the time of registration requires amendment, NIATM must be contacted with supporting evidence and reasons regarding the errors made.
Upon receipt of an External Quality Assurance report, the awarding body aims to declare the result of learners within 30 working days or as per their policy. Results are released subject to the principles and obligations of applicable data protection law.
